Refund & Cancellation Policy

1. Overview
This policy explains how cancellations, refunds, and billing adjustments work for AuditWard subscriptions and usage-based charges. It supplements our Terms of Service. By subscribing to a paid plan you agree to this policy.
2. Subscription Cancellation
You can cancel your subscription at any time from the Billing page in your dashboard. When you cancel:
- Your plan remains active until the end of the billing period you have already paid for.
- You keep full access to your plan's features, scan allowance, and seats until that date.
- You will not be charged again after the current period ends.
- We do not issue prorated refunds for the unused portion of a billing period.
3. Plan Changes
When you upgrade to a higher plan, the price difference for the remainder of the current period is invoiced immediately on a prorated basis. When you downgrade, the change takes effect immediately and any prorated credit is applied to your next invoice. Seat additions and removals are likewise prorated on your next invoice.
4. Overage Charges
On plans that allow overage, scans beyond your monthly allowance are charged per scan at the rate shown on the pricing page. Overage charges are billed when the scan starts and are non-refundable once the scan has completed. If a scan fails to produce results due to a platform error on our side, contact us and we will refund or credit the corresponding overage charge.
5. Refund Eligibility
We will refund charges in the following cases:
- Duplicate charges or billing errors caused by us or our payment processor.
- Charges incurred after you cancelled, where the cancellation was correctly submitted before the renewal date.
- Paid scans that failed due to a verified platform outage or error on our side.
Refund requests must be submitted within 30 days of the charge by emailing contact@auditward.com from the email address associated with your account. Include the invoice number where possible. Approved refunds are returned to the original payment method, typically within 5–10 business days depending on your bank.
6. Non-Refundable Situations
- Partial billing periods after cancellation (you retain access instead).
- Completed scans and generated reports, including scans whose findings you disagree with.
- Charges resulting from your violation of the Terms of Service or Acceptable Use Policy, including account suspension for abuse.
- Fees disputed more than 30 days after the charge date.
7. Chargebacks
If you believe a charge is incorrect, please contact us before initiating a chargeback with your card issuer — most billing issues can be resolved within a few business days. Accounts with active payment disputes may be suspended until the dispute is resolved.
8. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email to subscribers at least 30 days before they take effect and posted on this page with an updated revision date.
